Before you are planning to ship your belongings overseas, please contact our head office in Virginia. At that time, we will issue your booking number/shipping number. This booking number will be for you only, and should be used as a tracking device of your goods. We request that this number be placed on your goods, if possible in two areas. Usually on the top of the box, and on the side, the most visible areas of the box. By using this booking number, we can locate your goods immediately in our shipping facilities, and to secure your goods from being separated or mixed with other goods. We will issue one booking number/shipping number per customer. However, we can issue one booking number/shipping number for a group of customers who would like to ship all their goods under one name and one final destination address. This group of customers cannot exceed more than 5 people per booking number.

At the time you request a booking number/shipping number, we can set a pick up service at your residential location. Please note the areas that the pick up service is available. If your area is mentioned, please note that the pick up service is available from Monday through Friday only. If the area you are located at does not have the pick up service, your goods have to be dropped off at your nearest drop-off point, or sent via UPS service.

The following are the conditions that apply, should you request a pick up service:

Vita Bahari, Inc., can only pick up your belongings if they are packed in cartons, boxes, trunks, or suitcases only. These items must be packed and sealed with your name, booking number, final destination address overseas, and our company’s name, : VITA BAHARI, INC. printed on each box/carton. Should you decide to use labels, we urge you to place at least 2 copies of each on the individual boxes and use the packing tape to secure these labels.

We cannot give a specific time that the trucking company will be able to arrive at your residence. It is common that most pick ups are around the hours of 1:00 PM to 4:00 PM. Since the trucking company has other pick ups to complete, it is very difficult to guarantee an exact time. We do however make sure that the pick up has been ordered, and we will contact you the day before the pick up date to confirm the address, and to inform you of the name of the trucking company, and also to confirm that there will be someone at the residence available for the trucking company to contract regarding the pick up.

In order to have your personal items picked up by Vita Bahari, you will need a copy of the Pick Up Form. This form should be filled out by you and photocopied. Once the items are loaded in the truck, please request the signature of the driver on both copies. Please keep the original copy for your records, the photocopy can be given to the driver. Please note: Do not give the driver any Original Documents you may have. These documents should not be packed in the boxes, or be given out to the warehouse personnel. These documents will be needed in your final destination for customs clearance. All original paperwork should be kept by you.

Shipments to be dropped off to our warehouse facility:

If we are unable to pick up your goods the next option is for you to deliver your goods to our facility in person. For any deliveries, you are required to fill out the Delivery Form. The original copy should be signed by our warehouse personnel and a copy can be given to the warehouse, and the original be kept by you for your records. All warehouse facilities are open Monday through Friday, from 9:00 AM to 4:00 PM. We urge you to deliver the goods as early as possible, as the warehouse may be very busy in the late afternoons.

Sending goods via UPS Services:

United Parcel Service requirement is that only 1 (one) address be printed on the boxes/cartons, etc. This printed address should be the address of our nearest warehouse facility that you are sending them to. The overseas address must not show on the packages, as UPS may mistakenly send them overseas instead to the drop off center. After we receive these items, we will match your booking number printed on the boxes with our print out at the warehouse in order for us to know exactly what is the correct overseas destination.
